What the Update Bin Lots FIFO Inventory Task Does
This task runs in the background as a scheduled system process. It is not something you run yourself, but you may see it listed in the system scheduler under the name Update_BinLots_FIFO_Inventory. Its job is to keep Bin Lot and License Plate inventory numbers accurate and in sync with the overall inventory in each bin, using FIFO (first in, first out) logic.
Each time it runs, it works through the following steps:
Clears Bin Lot balances for any bin and product where the bin's overall on-hand inventory is already zero, so no leftover lot quantity lingers after everything has been picked or moved out.
Clears Bin Lot balances for products that don't track batch codes, code dates, or vintages, since those products don't need lot-level detail.
Wherever a bin's lot-level total doesn't match its actual on-hand inventory, recalculates the Bin Lot quantities using FIFO logic. It works back through recent inventory activity and assigns inventory to the oldest purchase receipts first (based on expiration date, then vintage, then receipt order), creating new lot records where needed and zeroing out any lots that no longer apply.
After reconciling each bin, updates the bin's reference purchase receipt to point to the oldest remaining lot, so pick lists and other bin-level views reflect the oldest stock on hand.
On a full system run, clears any leftover Bin Lot balances in bins where lot tracking has been turned off, and permanently removes Bin Lot records that have sat at zero inventory for more than 7 days (logging them to the deleted records history for auditing).
Repeats the same cleanup and FIFO recalculation for License Plates (pallet-level detail within a bin lot) — clearing plates tied to depleted lots, recalculating plate quantities from recent activity, and, on a full run, removing plate records that have reached zero inventory.
Finally, fixes any bin inventory records still linked to a purchase receipt with nothing left, redirecting them to a receipt in that bin that still has stock.
Fields And Definitions
Bin Lot - The portion of a product's inventory in a bin that belongs to one specific purchase receipt. Bin Lots exist for products that track batch codes, code dates, or vintages, so the system can tell which receipt a given quantity came from.
License Plate - A further breakdown of a Bin Lot down to an individual pallet or unit, used in bin zones set up to track license plates.
FIFO (First In, First Out) - The rule this task uses to decide which inventory counts as "used" first: the oldest receipt (by expiration date, then vintage, then receipt order) is depleted before newer ones.
Bin Inventory - The total on-hand quantity of a product in a bin, without the lot- or plate-level breakdown. This is the number Bin Lots and License Plates are reconciled against.
Best Practices
You don't need to run this task yourself. It's a background scheduled process that keeps Bin Lot and License Plate inventory accurate over time, even if something didn't reconcile immediately after a move, pick, or count.
If lot- or plate-level inventory looks off, this task will typically correct it automatically the next time it runs — there's usually no need to fix it manually.
Products that don't track batch codes, code dates, or vintages won't show Bin Lot detail. That's expected, since lots exist specifically to support that kind of tracking.
If lot- or plate-level numbers still look wrong after this task has run, check the product's batch code/code date/vintage tracking settings and the bin zone's lot and license plate tracking settings, since those control what this task reconciles.
