What the Delete_ReportHistories Scheduled Task Does

Delete_ReportHistories is an automatic background maintenance task built into Encompass. It runs on a regular schedule to keep the reporting system fast by clearing out old, unused, or expired reporting data. If you see it listed on the Scheduled Tasks screen, that's expected — no action is needed on your part.

Each time it runs, it performs the following cleanup steps, in order:

  1. Clears expired report results - Temporary result sets kept so a report can display quickly are removed once they expire.

  2. Removes unused draft reports - Draft reports that haven't been updated or run in 30 or more days, and that no longer have a valid parent report, are deleted.

  3. Cleans up old report versions - Older versions of a report are removed once they are 30 or more days old and no longer referenced by any other report. Duplicate active versions of the same report are also cleaned up so each report keeps one active version.

  4. Archives report run history - Detailed records of when reports were run are summarized into monthly totals once they are over a month old, moved to long-term history, and cleared from the active log.

  5. Removes orphaned scorecard goals - Report Goals tied to a report version that no longer exists are deleted.

Best Practices

  • No action needed - This task runs automatically; you never need to start it, stop it, or configure it.

  • Your active reports are safe - Only expired caches, abandoned drafts (30+ days untouched), and unused old report versions are affected. Reports you're actively using are never touched.

  • Seeing it in Scheduled Tasks is normal - If you notice Delete_ReportHistories running in the system scheduler, that's routine maintenance, not an error.
