What the Update_AuthenticationsSitesDisplay Scheduled Task Does

This is a background maintenance task, not something you run yourself. It keeps a login's Switch Site list accurate and up to date for a site. Encompass runs it automatically on a recurring schedule, which is why you may see it listed in the system scheduler. Each time it runs, it performs four checks:

  1. Adds missing site links - Finds active users on this site whose login doesn't yet have a record linking it to this site, and creates one. This is what makes a site appear in a user's Switch Site list after they're granted access. It also removes links for logins that no longer have any active user on this site.

  2. Refreshes which sites are visible - Recalculates whether each linked site should actually be shown in the Switch Site list, based on whether the user is still active and still holds a permission that grants visibility. A site a user has lost access to drops out of the list without deleting the underlying record.

  3. Syncs the login email to user records - If someone's login email address changes, this copies the new email onto their linked user records on the company's other connected sites, so the email stays consistent everywhere.

  4. Syncs user type across sites - Updates the user type stored against each site link to match the user's current, most-privileged user type, keeping site-switching behavior consistent with the user's actual role.

Best Practices

  • No action needed - This task runs automatically. You don't need to run it manually or configure anything for it to work.

  • Switch Site list looks out of date? - It will correct itself the next time this task runs.
