Steps

Delete_FieldAuditRecords Scheduled Task

  1. Whenever a tracked field's value changes anywhere in Encompass, the system logs the change in a hidden change-history log called FieldAudit — this keeps the previous value, the new value, who made the change, and when it happened.

  2. Each field has its own Audit Retention Days setting that controls how long that history needs to be kept.

  3. The Delete_FieldAuditRecords scheduled task runs automatically in the background. It checks the FieldAudit entries for every field and permanently deletes any entries older than that field's Audit Retention Days setting.

  4. This task never touches your live records — it only removes old change-history entries that have aged past their retention window.

  5. Because it's a system-scheduled task rather than something you run yourself, seeing Delete_FieldAuditRecords in the scheduler is expected and normal. No action is required on your part.

Fields And Definitions

  • Audit Retention Days - The number of days Encompass keeps a field's change history before Delete_FieldAuditRecords deletes it. Set per field on the Table Editor's Advanced Field Settings (0–365 days). This can only be changed for custom fields you've added; standard system fields use a fixed retention set by Encompass.

Best Practices

  • If a field's older change history seems to be missing, check its Audit Retention Days setting in Table Editor before assuming something went wrong — it may simply have aged out.

  • For custom fields where you need a longer change history (e.g., for compliance or troubleshooting), raise Audit Retention Days up to the 365-day maximum.

  • You don't need to disable or reschedule Delete_FieldAuditRecords — it's designed to run continuously in the background to keep the audit trail from growing indefinitely.
