Minimum Version Required: 26.07

Pre-Conditions

  • Users must have the "Invoice Edit" permission to manually run or trigger pricing recalculations.

  • System Setting 85 ("Use Backorder in Promotion min Num Units calculation for Quantity Restricted Promotions") must be configured to dictate whether backorders contribute to the group's qualifying quantity totals.

Steps

  • Configure the Buying Group Zone: Navigate to the Zones table. Locate or create the zone that represents your cooperative buying group, and set the Buying Group field to True.

  • Assign Customers: Map all participating customers to the designated buying group zone. Customers should be assigned using the customer-zone mapping tables.

  • Link Promotions: Attach the desired quantity-restricted promotions to the configured buying group zone. While a single promotion can be linked to multiple zones, quantities are aggregated individually for each specific zone.

  • Process Daily Transactions: Create daily customer invoices. Only unlocked, active daily invoices with a status up to "Return" are eligible for collective aggregation.

  • Recalculate Group Pricing: The system runs a daily automated task ("Recalculate Co-Op Pricing") to sum product quantities across all active transactions in the buying group (the net of both positive and negative transactions). This calculation can also be run manually by authorized users at any point.

Fields And Definitions

  • Buying Group: A setting in the Zones table. When enabled, it groups all customers assigned to that zone and aggregates their transaction quantities to qualify for shared, volume-based promotional pricing.

  • Promo Overridden (CoOp): A transaction flag indicating that a collective group promotion has been applied and locked to prevent recalculation from subsequent changes in quantity.

Best Practices

  • Verify Customer Mapping: Ensure customer-to-zone mappings are completed via the dedicated customer-zone mapping tables rather than relying solely on the main Customer Profile zone field.

  • Understand Net Return Dynamics: Keep in mind that negative invoice transactions are included in the daily volume. Daily product returns will reduce the group's aggregate total volume.
