Minimum Version Required: 25.11
Pre-Conditions
Must be attempting to balance or edit an existing Bank Reconciliation.
The system user must have the necessary permissions to edit Bank Reconciliations and access the Imported tab.
The unexpected Journal Entry Transaction (JET) and the Bank Reconciliation Transaction (BRT) must have identical amounts.
The user must have executed the Auto-Match function on the Bank Reconciliation screen's Imported tab.
Steps
1. Navigate to the Bank Reconciliation: Open and Edit the specific Bank Reconciliation record that is currently showing an unexpected transaction (e.g., Bank Reconciliation ID 272).
2. Access the Imported Tab: Click on the Imported tab within the Bank Reconciliation screen.
3. Locate the Unexpected Transaction: Use the filtering or search function to locate the incorrectly linked Journal Entry Transaction (JET) (e.g., Journal Entry Trans ID 51079). You may need to cross-reference the date or amount.
4. Unselect the Journal Entry Transaction: Uncheck or unselect the checkbox/toggle associated with the unexpected Journal Entry Transaction (JET). This action manually breaks the link created by the 'Auto-Match' function.
5. Save the Changes: Click the Save button on the Bank Reconciliation screen to apply the change and remove the JET from the reconciliation.
6. Verify the Balance: Confirm that removing the incorrect JET has corrected the balance of the Bank Reconciliation and proceed with the rest of the balancing process.
Fields And Definitions
Bank Reconciliation (BR): The process of verifying that the bank statement balance agrees with the cash balance on a company's general ledger.
Journal Entry (JE): A record of a financial transaction in an accounting system.
Journal Entry Transaction: A specific line item/debit/credit within a broader Journal Entry.
Example: Journal Entry Trans ID 51079.
Bank Reconciliation Transaction (BRT): A transaction record imported from a bank statement (e.g., via a file import) that is being matched against a JET.
Example: Bank Rec Trans ID 12709.
Auto-Match: A feature within the Bank Reconciliation screen's Imported tab that automatically links unreconciled Bank Reconciliation Transactions to Journal Entry Transactions based on a specific, priority-based logic:
Priority 3 (Highest): Match by Check Number.
Priority 2: Match by Date.
Priority 1 (Lowest): Match by Amount Only.
Import Routine: A scheduled or manually run process that uploads and inserts external data (like bank statement files) into the system for use in reconciliation.
Best Practices
Prioritize Manual Review: For Bank Reconciliations that involve transactions with common or recurring amounts, manually review the 'Imported' tab before running the 'Auto-Match' function, or meticulously check the results after running it
