Generating a Report Summary

1. Navigate to and run any report in Encompass.

2. At the top of the report view, click the Generate Summary button.

3. A dropdown menu will appear with several summary options.

  • Executive Summary (default): Provides a classic, high-level overview of the report data.

  • One-Page Report: Generates a more detailed summary that is still easy to scan and understand.

  • Opportunities Report: Creates a strategic summary that focuses on identifying potential business opportunities within the data.

5. The AI-generated summary will appear in a dialog box for your review.

Sharing a Summary via Email

  1. After generating a summary, click the email icon at the top of the summary dialog.

  3. Add recipients and send the email.

Administrator: Configuring the AI Model

System administrators can choose which AI model is used to generate summaries, allowing them to balance performance with the quality of the output.

  2. Search for Setting ID 3383.

  3. Select the desired AI model from the available options. The default is OpenAI o3.

Fields And Definitions

  • Executive Summary: A concise, high-level overview of the report's key metrics, trends, and action items. This is the default option.

  • One-Page Report: A more comprehensive summary that includes performance highlights, key trends, and a concluding summary, formatted for easy scanning.

  • Opportunities Report: A strategic, action-oriented summary that identifies primary, secondary, and growth opportunities based on the report data.

  • AI Model (System Setting 3383): An administrator setting that determines the underlying large language model used for generating summaries. Options may include various models from OpenAI and Google.

Best Practices

  • Data Limits: The AI analysis is performed on a limited subset of the report data to ensure performance. Only the top 200 rows and the first 30 columns of the report are used. If your report exceeds these limits, a warning will appear at the top of the summary indicating that not all data was analyzed.

  • Filter First: The quality of the summary depends on the data provided. For the most relevant insights, filter your report to show the specific data you are interested in before clicking "Generate Summary".

  • Audience Awareness: Choose the summary type that best fits your audience. Use the Executive Summary for quick updates to leadership and the Opportunities Report for strategic planning sessions.
