Written by Bailey Naas-Thornton

Minimum Version Required: 22.01

Pre-Conditions

  • User must have the PromoOverride permission to access this routine.

  • Invoice transactions must already exist in the system.

  • Promotions must already exist in the system.

  • This routine requires mapping to at least InvoiceTransID and PromotionID fields.

Steps

The InvoicePromoOverrides routine allows users to import and apply promotion overrides to existing invoice transactions. This routine enables you to override pricing information for specific invoice transactions by associating them with promotions and defining custom pricing values.

When executed, this routine will:

  1. Look up existing invoice transactions based on the provided InvoiceTransID.

  2. Associate the specified promotion (PromotionID) with these transactions.

  3. Apply the provided pricing overrides (UnitPrice, FullPrice, and/or Discount).

Fields And Definitions

InvoiceTransID (Integer) - Required

  • The unique identifier for the invoice transaction to which the promotion override will be applied.

  • This field is required to identify which specific line item within an invoice should receive the promotion override.

PromotionID (Integer) - Required

  • The identifier for the promotion to apply to the invoice transaction.

  • The promotion must already exist in the system.

UnitPrice (Currency)

  • The overridden unit price for the invoice transaction.

  • This represents the final price after all discounts have been applied.

FullPrice (Currency)

  • The full price before discounts are applied.

Discount (Currency)

  • The discount amount to apply to the full price.

Best Practices

Use consistent pricing logic: When importing data, ensure that the relationship between FullPrice, Discount, and UnitPrice is consistent (FullPrice - Discount = UnitPrice). If all three fields are provided, the system will use the provided values.

Validate before importing: Before importing, verify that all InvoiceTransIDs exist in the system. Non-existent transaction IDs will be skipped during the import process.

Verify promotions: Ensure that all PromotionIDs in your import file correspond to valid promotions in the system. Invalid promotion IDs will not be applied.

Consider incremental imports: For large datasets, consider breaking your import file into smaller batches to minimize processing time and resource usage.

Check results: After import, review the results to ensure all promotion overrides were applied correctly. Look for any warnings or errors in the import results.

Maintain audit trail: Document when and why promotion overrides were imported to maintain a clear audit trail for pricing changes.

Test in non-production: Before running in a production environment, test the import in a test/staging environment to verify the expected behavior
