Wholesale Units per Case Conversion Tool Best Practices and Configuration

Distributor guide to the Wholesale Units per Case (WUPC) conversion tool: Correction3 bin adjustments, moving stock back via BinTransEDBL, and fixing PromotionsProducts pricing. Needs All Locations on user; v25.06+.

Written by Bailey Naas-Thornton

Minimum Version Required: 25.06

Pre-Conditions

  • The system setting "Enter Promotion Discounts and Product Prices by Case Values" must be set to true. This is set to true to allow the system to calculate the unit price as expected after the tool is updated. Once completing the process, you can set this back to false.

  • A default Correction3 bin should be configured in your system to catch system corrections.

  • The Correct_BinInventories_2_Inventories scheduled task runs, typically early Sunday morning.

  • Access to import routines for mass product moves (e.g., BinTransEDBL import routine) if necessary.

  • Understanding of package configurations and their impact on wholesale units.

  • Users must have All Locations set to TRUE on their User Record to run the tool.

Steps

1. Understand WUPC Conversion Impact: When the WUPC is changed for a product (e.g., from 1 unit per case to 12 units per case), the system treats the original inventory in units as now equating to a different number of cases. This difference is what triggers the product to be moved to an adjustment bin. This is expected behavior.

2. Verify Correction3 Bin Configuration: Ensure you have a dedicated "Correction3 bin" set up. This bin should be named clearly (e.g., "Correction3 bin") and ideally configured as a back stock bin to prevent pickers from being prompted to pick from it. This bin will temporarily hold inventory adjusted by the Correct_BinInventories_2_Inventories scheduled task.

3. Allow for Scheduled Task Execution: The Correct_BinInventories_2_Inventories scheduled task is responsible for processing inventory corrections related to WUPC changes. This task typically runs early Sunday morning. It is highly recommended to perform WUPC conversions on a Friday evening to allow this task to run over the weekend.

4. Monitor the Correction3 Bin: After the Correct_BinInventories_2_Inventories task has run, check your designated Correction3 bin. Any inventory adjustments resulting from the WUPC conversion will appear in this bin.

5. Move Product from Adjustment Bin to Original Bin:

  • Manual Move: For smaller quantities, manually move the products from the Correction3 bin back to their original pickable bins within the system.

  • Mass Import (Recommended for Large Quantities): If you are comfortable with import routines, create a BinTransEDBL import routine. This file will require two lines per product:

    • A negative transaction to deplete the Correction3 bin.

    • A positive transaction to increase the inventory in the product's pickable bin.

6. Address Pricing Discrepancies:

  • Understand Pricing Logic: When WUPC changes, the system's InvoicingTrigger_Set_CaseAmountAndLineAggs logic may re-calculate PromotionsProducts amounts based on the new WUPC. If the system's pricing calculations are incorrect (e.g., multiplying by units instead of dividing), you will need to adjust.

  • Update Pricing via Table Import: Pricing can be updated efficiently using a table import for the PromotionsProducts table. This allows you to bulk update the Amount and Case Amount values to ensure they calculate correctly with the new WUPC.

  • Wait for Scheduled Task: After updating pricing via import, wait for the Recalculate_Invoice_Pricing scheduled task to run; this will apply the changes to your invoice data.

Fields And Definitions

  • WUPC (Wholesale Units Per Case): The number of individual units (e.g., bottles, cans) contained within one wholesale case of a product. Changing this value affects how inventory is tracked and priced.

  • Adjustment Bin: A designated bin in the inventory system where products are temporarily moved due to discrepancies or system adjustments (like those after a WUPC conversion). Products in this bin are typically considered unsellable until reconciled.

  • Correction3 Bin: A user-defined default bin specifically configured to catch system-generated inventory corrections, often resulting from scheduled tasks like Correct_BinInventories_2_Inventories.

  • Correct_BinInventories_2_Inventories (Scheduled Task): An automated process that runs periodically to reconcile and adjust bin inventories based on system logic, including changes from WUPC conversions. This task is crucial for moving adjusted inventory to the Correction3 bin.

  • Recalculate_Invoice_Pricing (Scheduled Task): An automated process that recalculates pricing on invoices, ensuring that changes made to product pricing (e.g., via PromotionsProducts updates) are correctly reflected.

  • PromotionsProducts: A system table or module where product pricing details are stored and managed, including case amounts and unit amounts.

  • BinTransEDBL: An import routine within the system that allows for the mass import of bin transfer transactions, enabling efficient movement of products between bins.

  • Back Stock Bin: A type of inventory bin typically used for overflow or bulk storage, designed so that pickers are not prompted to pick from it directly. This is recommended for Correction3 bins.

Best Practices

  • Perform WUPC Conversions on Weekends or on Friday Afternoon: Always plan to run the WUPC conversion tool on a Friday evening. This allows the Correct_BinInventories_2_Inventories scheduled task to run over the weekend, minimizing disruption to your busiest operational days.

  • Configure Pricing Calculation Setting: Ensure the system setting "Enter Promotion Discounts and Product Prices by Case Values" is set to true during the WUPC conversion process to allow for accurate unit price calculation. This setting can be reverted to false once the conversion and associated pricing adjustments are complete.

  • Test in a Non-Production Environment: Before implementing any WUPC changes on your live site, thoroughly test the entire conversion and adjustment process in a dedicated test environment. This helps identify and resolve potential issues without impacting your day-to-day operations.

  • Proactive Bin Management: Create and clearly label a dedicated default Correction3 bin. The Default Correction3 Bin (set on the Default Bins table) needs to be a back stock bin type. This prevents it from being a pick location and makes it easier to manage inventory moved there.

  • In the event of a Correction3 bin transaction after the WUPC tool has been run, count your inventory and adjust cases as needed.

  • Understand System Logic: Be aware that WUPC changes are a significant endeavor and inherently involve inventory adjustments due to the change in how units are accounted for within a case. Inventory is the sum of Units; if the Unit value changes on for a product, the associated inventory will need to be confirmed.

  • Utilize Import Routines: For large-scale WUPC conversions, familiarize yourself with and leverage system import routines (e.g., BinTransEDBL) to mass move products and update pricing. This significantly reduces manual effort.

  • Review Documentation: Regularly consult the updated help resources for the WUPC tool, which should include detailed steps for managing bin inventories and updating pricing after a conversion.
