Journal Entry Troubleshooting: Accounts Receivable

Common Issue:

  • Journal Entry posted to the wrong company

  • The wrong accounts receivable account was impacted

  • Customers should share the same AR account

Steps:

1. Navigate to the AR Account Maps

  • Confirm that each needed accounts receivable account has a map with the correct company

  • Confirm that each undeposited funds account is assigned with the correct accounts receivable account. (undeposited funds is where funds sit after being paid by your customer, but before being recorded in a deposit)

2. Navigate to the relevant customer record

  • Confirm the customer’s AR Account is correct

  • Click on the AR Account

3. Confirm the Company and AR Map ID are correct

  • Company and AR Map ID are inherited from the AR Account Map that is assigned to the AR Account record

  • The AR Map ID is assigned based on the Customer’s Location or Product Group that aligns with the same Location on the AR Account Maps table

4. Once you have confirmed the mapping is correct, you can close Accounts receivable to generate related Journal Entries.

  • If the Load Sheet is already Verified and the related entries need to be recalculated, then you can roll back the Invoice Close Date, un-Verify the Loadsheet(s), and re-close Invoice Close and Accounts Receivable Close.

Best Practices

  • Always confirm related mapping and data before invoicing a new customer

  • Never change data that will affect AR Account Maps with open Invoices for the related Customer(s). This could cause the AR to be debited and credited to different Companies
