How to Invite Supplier Users to Connect Distributor Reporting
1. Using Universal Search, navigate to the Suppliers table.
2. Search and select a Supplier to confirm that they have a Global Supplier ID which ties them to the Global Database
Note: If the Supplier does not have a Global Supplier ID, navigate to the Products table, search and select a Product, and click the 'Product Manager button to connect them. Select the matching Product in the Global Products database. The Global Supplier ID cascades up to Brand Family and Supplier records from the Product.
3. From the Supplier record, click the Sub Tables button and select Supplier Vendors to confirm the Supplier has Suppliers Vendors record(s) linked for all Locations that sell their Products; this ties the Company purchasing the Products from with the Supplier.
NOTE: When the Supplier Data Access field is set to Allow, the data is accessed by the appropriate Supplier User in dsdlink. When set to Block, the flow of data to Suppliers Users is not permitted, should the user want to stop reporting for any Location(s).
4. Using Universal Search, navigate to the Users table.
5. Click Add Users to create a new user. Enter values to all required and applicable optional fields displayed the ‘New User’ form and click the ‘Add Record’ button when complete.
- Enter the Name, Email address to send the invitation to, and phone number if able.
- Set the Role field to Supplier.
6. Click the Sub Tables button from the new User's record and select 'Suppliers Users'.
7. Click the 'Add Suppliers Users' button to connect the Supplier's and User's records - this ensures that the User can only see Products under that Supplier.
8. Now that the User has been created and connected to a Supplier, and the Supplier is linked in the Global Database through the Global Supplier ID, Click the 'Invite to dsdlink' link on the Suppliers Users record to send an invite via email.
Optional - Let the user know in a friendly email that they have been invited to the platform! Once the user logs in and sets a password they are able to access Encompass Support and Help Resources.
Best Practices
The global supplier trying to connect to does not exist when trying to link a brand or product. The user will want to submit a support task to Encompass so that they can get that record added.
The users email domain does not match that of the global supplier in dsdlink. User also will want to submit a ticket to Encompass so that an analyst can add the domain to our records which helps to ensure data integrity for all of our users.
