Pre-Conditions

  • You are using a routing system where stops are assigned a phase (e.g., Phase 1, 2, 3, 4) that dictates when deliveries or pre-sells should occur.

  • You have observed that some stops are being included in a route or generating pre-sell events at an unexpected time based on their assigned phase.

  • You have access to the route configuration, stop details (including assigned phase and any pre-sell day settings), and potentially a date conversion table.

Steps

1. Identify the Affected Route(s) and Stops: Note the specific route numbers and stop IDs where you are seeing the unexpected phasing behavior.

2. Verify the Stop's Assigned Phase: Confirm the phase assigned to the affected stop(s) in your routing system.

3. Check the Pre-sell Days in Advance Setting: Determine the "Pre-sell Days In Advance" setting for the affected stop(s). Understand if this setting uses calendar days or business day calculations.

4. Determine the Next Scheduled Delivery Date: Identify the "Next Scheduled Delivery Date" for the affected stop(s).

5. Understand the Relationship Between Phase and Delivery Date: Recognize that in this system, Stops.Phase always relates to the Delivery Date Phase.

6. Consult the Date Conversions Table: Check which phase the "Next Scheduled Delivery Date" falls under. The pre-sell event generation is based on this delivery date's phase and the "Pre-sell Days In Advance" setting.

7. Example Analysis:

  • For a stop with a Presell Date of 3/5/2025 and a 2-day advance pre-sell, the Delivery Date is 3/7/2025. If 3/7/2025 falls into Phase Two according to the date conversions, then a pre-sell event for Phase Two would be generated.

  • For a stop with a Presell Date of 3/5/2025 and a 3-day advance pre-sell using business day calculations, the Delivery Date is 3/10/2025. If 3/10/2025 falls into Phase Three, then a pre-sell event for Phase Three would be generated.

8. Consider the Rolling 4-Week Cycle: Understand that phasing might operate on a rolling 4-week cycle based on a date conversions table. The phase assigned to a specific date determines when pre-sells occur.

9. If the issue persists, contact support: Provide the following information to the support team for further investigation:

  • The affected route number(s) and stop ID(s).

  • The expected behavior (when the stop should have been included in the route or when the pre-sell event should have been generated).

  • The actual behavior observed.

  • Screenshots or exports showing the stop's phase, pre-sell days in advance, and next scheduled delivery date.

Fields And Definitions

  • Stops.Phase: A field associated with each stop that indicates its assigned phase. In this system, it directly corresponds to the phase of the delivery date.

  • Presell Date: The date on which a pre-sell activity occurs.

  • Delivery Date: The scheduled date for the delivery to the stop. The phase of this date, according to the date conversions, determines the pre-sell event timing.

  • Pre-sell Days In Advance: The number of days before the delivery date that a pre-sell event is scheduled. This can be based on calendar days or business days.

  • Next Scheduled Date: The upcoming delivery date for a particular stop.

  • Date Conversions Table: A table that maps specific dates to their corresponding phase in the routing cycle. This table is crucial for understanding how the system determines the phase of a delivery date.

  • Business Day Calculations: When calculating pre-sell dates, this method only counts working days (typically excluding weekends and holidays).

  • Rolling 4-Week Cycle: A common phasing approach where the phases repeat every four weeks based on the calendar.

Best Practices

  • Ensure a clear understanding of how your system defines and applies phases, especially the relationship between the "Stops.Phase" and the delivery date.

  • If using "Pre-sell Days In Advance," be aware of whether it calculates based on calendar days or business days. Familiarize yourself with any date conversion tables used by your system to determine which phase a specific date falls under.

  • When setting up routes and stops, double-check the assigned phases and pre-sell day settings to avoid unexpected behavior.

  • If the expected phasing is based on specific weeks of the month (e.g., Phase 2 & 4 in the second and fourth week), confirm if your system's configuration aligns with this expectation, especially considering any rolling cycle logic.
