Pre-Conditions

Pre-conditions:

  • You are receiving 820 remittance files through EDI.

  • The EDI configuration for the trading partner is correctly set up.

  • The invoices are being created correctly.

  • The deposit group assigned to the remittance is incorrect.

  • You have access to the Encompass system’s AR Account, Credit Terms, Terms Payment Types, and Payment Types tables and settings.

Steps

  • Identify the Incorrect Deposit Group:

    • Locate the deposit record created from the 820 remittance.

    • Note the deposit group that was assigned.

  • Trace the Hierarchy:

    • Start with the AR Account associated with the invoice in question.

    • Locate the Credit Term assigned to that AR Account.

    • Navigate to the Terms Payment Types section and find the record associated with the Credit Term.

    • Identify the Payment Type linked to that Terms Payment Types record.

    • Find the Payment Type record and note the Deposit Group assigned to it.

  • Verify Credit Term and Payment Type Association:

    • Ensure that the Credit Term assigned to the AR Account is correctly linked to the desired Payment Type through the Terms Payment Types table.

    • If the linkage is incorrect, create a new Terms Payment Type record to associate the correct Payment Type with the Credit Term.

  • Check Payment Type Deposit Group:

    • Verify that the Deposit Group assigned to the Payment Type matches the desired deposit group.

    • If the Deposit Group is incorrect, change it to the correct value.

  • Review Invoice Specific Terms:

    • If the invoice has a split term or a specific term that differs from the AR account term, then this invoice specific term will take precedent over the AR account term. Repeat steps 2-4 using the invoice term.

  • Test and Verify:

    • Process a test 820 remittance file to verify that the deposit is assigned to the correct deposit group.

    • Monitor subsequent remittances to ensure the issue is resolved.
