Introduction

This document explains how route phasing works in Encompass and provides troubleshooting steps for issues where stops are included in a route when they should not be, due to perceived phasing errors.

Understanding Route Phasing

  • Delivery Date Phasing:

    • In Encompass, "Stops.Phase" always refers to the Delivery Date Phase.

    • Phasing operates on a rolling 4-week cycle, determined by the "Date Conversions" table.

    • The phase assigned to a stop is based on its delivery date, not the presell date.

  • Presell and Delivery Dates:

    • The presell date determines when a salesperson can create an order.

    • The delivery date determines which phase the stop falls into.

    • The system uses business day calculations to determine the delivery date based on the presell date and the lead time (e.g., 2-day or 3-day presell).

  • Date Conversions Table:

    • The "Date Conversions" table is the definitive source for determining which phase a specific date falls under.

Steps

Troubleshooting Steps

1. Verify Presell and Delivery Dates:

  • Confirm the presell and delivery dates for the stops in question.

  • Ensure that the lead time (presell days) is correctly calculated using business day calculations.

2. Check the Date Conversions Table:

  • Use the "Date Conversions" table to determine which phase the delivery date falls under.

  • This will confirm if the system is correctly assigning the phase.

3. Addressing Misunderstandings:

  • Clarify Phasing Concept: Phasing is based on a rolling 4-week cycle determined by delivery dates.

  • Explain Business Day Calculations: All deliveries must fall on a day that is set to is business day = true on the date conversions table. If a day is set to is business day = false, the system will skip that day.

4. Provide Information to Support:

  • When reporting a phasing issue, provide the following:

    • Route number.

    • Stop IDs.

    • Presell dates.

    • Delivery dates.

    • Screen shots of the date conversion table if possible.

Fields And Definitions

Example Scenario:

  • Scenario: A stop with a 2-day presell has a presell date of 3/5/2025.

  • Delivery Date Calculation: The delivery date is calculated as 3/7/2025 (2 days after 3/5/2025).

  • Phase Determination: Check the "Date Conversions" table for 3/7/2025. If 3/7/2025 falls into Phase 2, the stop will be assigned to Phase 2.

  • 3 day presell example: If a stop has a 3 day presell, then the delivery date is calculated using business day calculations. So if the presell date is 3/5/2025, then the delivery date would be 3/10/2025.

Best Practices

Important Notes

  • Always refer to the "Date Conversions" table to confirm phase assignments.

  • Understand that presell and delivery dates are distinct and serve different purposes.

  • Business day calculations will effect the delivery date.

  • If you are unsure of any of these steps, please contact Encompass support.
