Distributor steps for installing the Expired Allocation Management app in Encompass to automatically delete allocations that ended X days ago (default 60). Requires v23.01+.

Steps

How to Install the Application:

  1. Go to the App Library
    ​
    ​

  2. Search for and select the Expired Allocation Management app
    ​
    ​

  3. Click Install
    ​
    ​

  4. Assign Report and Dshboard Roles
    ​
    ​

  5. Set a schedule for the import routine to run
    ​
    ​

  6. Update application settings as needed
    ​
    ​

  7. Accept Terms
    ​
    ​

  8. Click Install

Fields And Definitions

General Knowledge:

  • Allocation end date is not required
    ​
    ​

  • We recommend end dating allocations once they have been completely filled
    ​
    ​
    ​

How the application works:
​
​

  • Find all allocation records that have been expired for at least X days (configurable, defaults to 60 days, minimum of 7 days)
    ​
    ​

  • Delete them

Application Settings:
​
​

  • Number of days after the Allocations End Date that it should be deleted from the system
    ​
    ​

  • This setting will determine when allocations should be deleted after they have ended.

  • This application helps automate a best practice to help clean up data.
