Pre-Conditions
"Locations.SplitLicensePlatesByPallet" and "BinZones.TrackLicensePlates" must both be set to Track License Plates for license plate records to be created.
If only "Locations.SplitLicensePlatesByPallet" is set to True, then the legacy behavior of Purchase Transactions splitting by pallet will occur instead.
Steps
The purpose of License Plates is to uniquely label and track individual pallets as they move through a warehouse. License plates make it easier to control individual pallet configurations, and communicate the need for specific pallet configurations within other warehouse processes like picking.
Note: License Plate tracking should not be adopted unless pallet-level inventory or configurations are needed during the picking process. For example, pre-stacking CHEP pallets in a different configuration for club store picking. Other use cases for License Plates include hardware integrations that require pallet-level data, such as importing inventory into an ASRS system.
For all other granular inventory tracking needs, Bin Lots are recommended. Please visit the Bin Lots Help Resource for more information.
Understanding License Plate Data
Bin: The bin the license plate is residing in. A new license plate record will be created each time the pallet moves to a new bin. See SSCC18 for more information.
Product: The product found on the pallet the license plate represents. Only one product per license plate is permitted.
Batch Code: If applicable, the production batch code associated with the pallet. This information pulls from the related Purchase Transaction.
Expiration Date: If applicable, the expiration date of the inventory on the pallet. This information pulls from the related Purchase Transaction.
Vintage: If applicable, the vintage of the inventory on the pallet. This information pulls from the related Purchase Transaction.
Purchase Trans ID: This field notes the overall layer of inventory that the license plate pull from, referencing the data entered when the inventory was received.
Bin Lot ID: Bin Lots keep track of multiple different layers of inventory residing in the same bin. As a license plate moves from bin to bin, it will also belong to a bin lot.
Location: This is the warehouse location the license plate belongs to, if the company has multiple locations.
Pallet Configuration Type: This field allows users to assign a specific categorization to license plates based on pallet configuration. Certain retailers may not accept full pallets exactly as they are stacked when received into the warehouse.
- For example, inventory that may need to be restacked onto CHEP pallets for club stores may result in different cases per pallet/cases per layer pallet configuration.
- Noting the pallet configuration directly on the license plate helps direct pallets being picked for delivery to those specific license plates later, by tying to "Customer Pick Type" on the Pick Rules table. The Pallet Configuration Types table allows users to connect certain configuration types to certain "Customer Pick Types", completing the link between License Plates and Pick Rules.
Inventory: This is the number of cases physically residing on the pallet, or belonging to the license plate.
SSCC18: This is the unique identifier generated by the Encompass system when creating a license plate for the first time. This is also the barcode printed on the physical license plate label and will be maintained as the license plate moves from bin to bin.
- When reviewing license plate data on the License Plates table, search by SSCC18, not License Plate ID.
Cases Per Pallet: This is the total number of cases per a full pallet of inventory for a specific license plate. This can differ from the original cases per pallet the product was received at, meaning that restacked pallets can be adjusted to accurately reflect their new configuration.
Cases Per Layer: This is the total cases per single layer of inventory for a specific license plate. This can differ from the original cases per layer the product was received at, meaning that restacked pallets can be adjusted to accurately reflect their new configuration.
Pallet Tag: This field represents the supplier pallet tag. Some suppliers may send this to Encompass with other shipment data, so Pallet Tag will be pre-populated during receiving, but this data can also be entered later. If using a supplier pallet tag to scan, printing an Encompass license plate is not necessary.
- When reviewing license plate data on the License Plates table, be sure to search by Pallet Tag, not License Plate ID.
Mobile View
Some license plate data can be managed from the WMS handheld.
Fields that can be entered directly on mobile: "Pallet Configuration Type", "Pallet Tag", "Cases Per Pallet", "Cases Per Layer", and "Inventory" (Total).
Not pictured, but also accessible on mobile: "Purchase Trans ID", "Batch Code", "Expiration Date", and "Vintage".
Fields And Definitions
*Indicates a required field.
Locations.SplitLicensePlatesByPallet* - Used to create license plates during receiving; a purchase transaction having multiple pallets will have the same number of license plates as physical pallets.
Values: True, False.
BinZones.TrackLicensePlates* - Indicates to the system which bin zones will require scanning license plates as inventory moves in and out of the zone. License plates will not be created if the related bin zones aren’t tracking them.
Values: Do Not Track, Scanning Required, or Scanning Optional.
System Setting 350: Supplier EDI Import Purchase Transactions by Pallet - While the fields above focus on purchases created internally, this field determines if imported supplier POs also split by pallet. Utilizing this function means that pre-applied supplier pallet tags can be used as license plates.
Values: True, False.
System Setting 372: Sort FIFO Layers descending by this Date field - This setting is used to determine which date the system will auto-rotate inventory by in scanning-optional situations.
Values: Expiration Date (FEFO), Receive Date (FIFO).
Best Practices
Scan license plates whenever possible, even in scanning-optional bin zones.
Double-check pallet configurations as inventory is counted and moved.
Require license plates in more pallet-regulated zones like backstock, and set pick zones as optional for continued tracking that doesn’t rely on the ability to scan.
Scan license plates during ePick to confirm the pick, and assign accurate date/batch information if confirmed by pallet tag.
Supplier pallet tags can be used as license plates by filling in the "Pallet Tag" field on a license plate record.
When reviewing the License Plates table, search by the "SSCC18" or "Pallet Tag" fields instead of License Plate ID.
