Minimum Version Required: 23.01

Steps

Setup

1. Products

a) add empty keg products for each supplier (even if 3rd party) and size

b) add non-inventory product for any 3rd party keg suppliers

2. Account Mapping

a) Inventory Asset Account Maps

i. at a minimum, two Inventory Asset Account Maps are needed to clear the deposit balance at the end of this work flow

ii. the Deposit Account on the first map (bringing in a full keg fro supplier) should be the same Account that is set on the Inventory Asset Account on the 2nd map (sending an empty keg shell back to supplier).

iii. specify either a Product Type or Product on the map so the correct map is hit when kegs come in and out of inventory

b) Income Account Maps

i. at a minimum, two Income Account Maps are needed to clear the deposit balance when picking up kegs from your customer

ii. the Deposit Income Account and Deposit Cogs Sold Account for the first map (delivering a full keg to customer) should match the Income Account and COGS Account for the second map (picking up an empty keg shell from the customer)

c) Expense Account Maps (for 3rd party keg providers)

i. set the product type for the 3rd party keg

ii. set the 3rd party keg deposit account

Best Practices

The Entire Work Flow:

1. Bring kegs into inventory via a Purchase (use the full keg product)

a) FOB = value of the liquid

b) Deposit = value of the keg shell

2. Sell kegs to customer (use the full keg product)

a) Income = value of the liquid

b) Deposit = value of the keg shell

3. Pickup kegs from customer (use the empty keg product)

a) Income = value of the keg shell

4. Return kegs to supplier (use the empty keg product)

a) FOB = value of the keg shell

Third Party Keg Supplier

1. On the original purchase found in step 1 above:

a) add a Purchase Trans using the non-inventory product for the 3rd party keg supplier

b) set the number of units for the Purchase Trans to be opposite that of the kegs coming in that are owned by the 3rd party keg supplier (negative num units)

c) FOB for the Purchase Trans should be the same amount as the Deposit cost found on the original Purchase Trans for the full kegs coming from the brewer

i. By doing this, the AP for the brewer will be correct, and the deposit balance in the 3rd party keg supplier expense account should match the bill from the 3rd party keg supplier when received.

2. On the second purchase found in step 4 above:

a) use the Vendor for the relevant third party keg supplier instead of the brewer

b) the first Purchase Trans will clear the empty keg Product from your inventory (negative num units)

c) add a second Purchase Trans using the non-inventory product for the third party keg supplier (positive num units)

d) set the number of units for the second Purchase Trans to be opposite that of the kegs returning to the third party keg supplier

e) FOB for the first and second Purchase Trans should be the same amount as the Deposit cost found on the original Purchase Trans for the full kegs coming from the brewer

i. This will be a $0.00 purchase because the FOB for the first Purchase Trans will alleviate inventory, and the second Purchase Trans will alleviate the deposit cost from the original Purchase
