Steps

How to Correct/Reverse an Invoice

Best Practice:

  1. Unapply all payments from the original invoice to reverse or correct. This will allow the system to automatically apply the original and reversal invoice so they balance out.

From the Invoices Table:

  1. Select Reverse or Correct Invoices

  2. Search for and select invoices to be reversed or corrected

  3. Select the reason for why these invoices need to be reversed or corrected

  4. Select the route for the invoices to go on

  5. Review the invoices and select to reverse or correct the invoices

  6. For Corrections: The invoice is now editable using the Edit button at the top of the Invoice view. Make changes as needed and click Save Changes when complete

From the Invoice View:

  1. Go to an invoice to reverse or correct

  2. Select Reverse or Correct Invoices

Best Practices

  • Unapply payments before reversing or correcting an invoice, if possible

  • Be aware that correcting a previously corrected invoice will create additional reversal and correction records

  • Reversals and Corrections DO NOT change the original invoice, they create new records that either nullify OR nullify AND recreate Invoices. This is because Verified Invoices cannot be edited

  • Reversing an Invoice will result in the creation of ONE new invoice record, and it should be an exact match for all products, quantities, prices, and invoice charges found on the original in the opposite amount. This means that positive amounts are now negative and negative amounts are now positive

  • Correcting an Invoice will result in the creation of TWO new invoice records; one will be a reversal as described above, and one will be a recreation of the original invoice that is now editable

  • If the user needs to change the Customer and AR Account on the correction invoice, please create a reversal invoice and then manually create a correction invoice for the correct customer/ar account.
