Minimum Version Required: 23.01

Pre-Conditions

  • Promotions or suppliers where participation or discount amounts have changed but data is already verified.

Steps

The Rebate approval tool is a tool used to correct previous discounts or participation on verified transactions. This can be used to issue credits to customers for a discount that changed, or to ensure you are paid accurately for your participation.

What it does:

The rebate approval tool will create new invoices with a negative and a positive of the transactions that have been verified for a customer. The negative will have the original promotion amounts they received historically while the positive transaction will have the updated participation/discounts. This new invoice can then be used as a credit for future invoices, or to help report billbacks to suppliers.

How to use:

  1. Go to the Rebate Approval dashboard

  2. Select your source: This can either be set to promotion or supplier depending on whether specific promotions have changed, or all products under a supplier has changed.

  3. Use the filters at the top to isolate the data that needs to be corrected

  4. Click search

  5. Select an approval date: This is when the rebate approval invoices will be created

  6. Transactions can either be updated in bulk by clicking update all or individually by clicking update on each one

Best Practices

  • Use the filters to narrow down the information as much as possible.

  • Use the approval date to determine what day the rebate approval invoices are created

  • Make sure to review the data before it is updated.
