This documentation is intended for Encopmass internal use only. We do not want customers create Geotab databases. ONLY Create a Geotab database if the Geotab hardware was purchased from Encompass and this is a new implementation

Creating the Geotab Database

1) Go to my.geotab.com

2) Click the Register link on the login page

3) Enter the customer's company name

4) Create a unique short name (database name) for the customer, preferably including Encompass in the name. Ex. adamsbevencompass

5) Enter your information under 'Your Information' (Including your email)

6) Set time zone to customer's time zone

7) Set password to: Encompass8!

8) The database has now been set up! A confirmation email has been sent to your email, accept the confirmation email.

9) Once the confirmation email has been accepted, you will be directed to the GeoTab database and promoted with a Terms agreement. Accept the agreement. You are now logged into the GeoTab database.

Importing Data into Encompass

1) Log into the newly created mygeotab account with your credentials

2) Go to the Administration Menu and click the Users Menu

3) Click the Add button on the Users page

4) Set User (email) to import[distributorsname]@encompass8.com (ex. [email protected])

5) Set the First Name = Import & Last Name = Account

6) Set force password change on next login to NO and set the password to: Encompass8!

7) Set Security Clearance to Administrator

8) Click Save in the top menu bar

9) Remember the username and password they will be added on the GPS Authentications Table on the customer's Encompass site

10) Add the myGeoTab URL, the Username and Password of the import account to Customer Notes for the customer on support.

11) On support:

Add the customer to the Customers Telematics table

Add a Customers Notes record with the geotab site URL, and the import username and password that was created

12) On the customer's Encompass site:

Go to the GPS Authentications Table and add a new record. API Provider Name = Geotab, Username = the user of the import account set up on the Geotab site, Password = the password set on the import account set up above on the GeoTab's site password

Once the devices are installed in a vehicle, GPS Device records will get import into Encompass automatically, however these can be imported in advance.

Assigning Devices in the Geotab Database

It is best to get a csv file with the Serial Number (GPS Device), Vehicle Name, VIN (optional)

1) Go to the Customers mygeotab database set up above and login

2) Navigate to the Vehicles & Assets tab

3) Click ‘Add a new Asset' > 'Add Multiple Assets' or 'Add Single Asset'
