Fields And Definitions

  • Load Sheet ID and Route: The load sheet and route of the invoice. This is important to note if an invoice is ever moved between routes

  • Credit and Debit and Total Cases: These will show changes to the order, and any payments entered

  • Signature: If the invoice is signed and locked, it will be shown here

  • Exchange Task ID: If not blank, this change came from outside Encompass, such as an import. This can also show if an invoice has been sent electronically to a retailer or third-party payment system

  • Source: The source of the change could be from a mobile user, exchange task, or import conflicts

  • Edit Memo and Page: These give details about why the change occurred and where, if an invoice is in conflict, or if that conflict was imported or canceled

  • Sale or Delivery Handheld ID: If an ID is listed in either column, the change was made on Encompass Mobile. Click the hyperlink to see the specific handheld record. If both columns are blank, the change occured on the server.

Best Practices

  • Clicking on Diff is an easy way to see all the changes to an invoice throughout its lifecycle whether that is pricing or quantity changes.

  • If you select Trans Audit to the right of a change, you can see all the changes to a specific transaction for further clarity.

  • The Edit memo and page will tell you a lot about how and where something may have updated or changed the invoice.

  • The Created by field will show what made changes or initiated the changes on the invoice and can be very helpful for understanding what happened.

  • From Invoice Audit, you can click the Restore button to restore a previous state of the invoice if there are changes made on accident.

  • Looking to have Encompass troubleshoot a mobile issue? You can click Invoice Audit and select the Sale or Delivery Handheld ID to pull up the handheld record of the user that may have experienced an issue. You can then set Upload database to be 1) EM Database and Logs so the next time the user syncs, they send their device history to the server. This is incredibly helpful in troubleshooting mobile issues.
