Minimum Version Required: 23.01

Pre-Conditions

  • This method of counting inventory is for Non-WMS warehouses and Producers only.

  • Return Rules should be set up for each desired write-off customer and reason. Access to these Return Rules can be controlled by setting the "Route Count Type" field to only your Inventory Adjustment routes.

  • Only Reasons that are assigned an Adj Customer in Return Rules will be displayed in Bin Count Task Reconciliation. Reasons also need to have "Allow Return Error" set to "True" on the Reasons table.

Steps

How to Reconcile the Completed Inventory Count

1. Navigate to the Bin Count Tasks table.

2. Click the Reconcile link on the Bin Count Task that was completed.

3. Select the completed Bin Count Task(s) or Bin Count Task(s) to be combined and click Next.

4. Review Errors:

  • Following a completed count, only inventory with counting errors will be displayed

  • The variances from the count are displayed in the Errors column

  • Products with the largest variances should be recounted

5. Once satisfied with the remaining error quantities, fill in the write-off quantity in each desired Reason column, or click the blue column header to fill down all errors to the selected write-off reason.

6. The Errors column will display all "0" values when write-off Reasons have been successfully populated. Click the Save button to complete the reconciliation and generate the related write-off invoices.

7. Select a Route and Date to hold the write-off invoices. Invoice Memo can also be set at this time.

8. Click Generate Inventory Adj Invoice.

9. Click View Inventory Write Off Load Sheet.

10. Inventory adjustment invoices are created and the Load Sheet is automatically set to the Balanced Status.

Fields And Definitions

  • Bin Count Tasks table - Table to view, create, edit, and reconcile Bin Count Tasks.

  • Reconcile - The process of comparing physical inventory counts with records of inventory on hand. This is where the inventory will actually be written in/off.

  • Inventory Count - Monitoring what is in stock for certain products or Bin Locations. During an inventory count, the product(s) are counted and recorded. When the inventory count is complete, the warehouse's inventory records are updated.

Best Practices

  • Count Inventory when nothing in the warehouse is moving. Utilize the weekend if necessary.

  • Do not load pallets, unload pallets, return any load sheets, or receive during the inventory count, if possible.

  • Counting regularly ensures that you catch any variance while there is still time to research.
