Best Practices

  • Accurate posting date - For EFT payments, use the date per the bank statement. For manual checks, use the date the check was written. This helps the person doing the Bank Reconciliation find the payments. Printed check dates are typically the same date as the Check Run

  • Start Check Num - The check number is required for printed/manual checks before balancing the Check Run. Look back at the previous ending check number to get the current starting number

  • Minimum Purchase Status - Generally recommed to leave as Confirmed to ensure only Confirmed and Verified purchases are included in the initial filter; however, setting to Ordered and Received can be important for vendors that require pre-payment before shipping product or providing a service.

  • Check for accuracy before balancing - Check Runs CANNOT be Un-Balanced. Review and confirm all the payments are correct. If there is an error after balancing, the specific check(s) must be voided
