Written by Bailey Naas-Thornton

Minimum Version Required: 23.07

Pre-Conditions

  • OCloud customer (system setting 553 = true)

  • Customer must have Encompass AR enabled (Companies.EnableEncompassAR)

  • System Setting 3103 = True

Steps

All transactions (Invoice, Deposit) will create a Balanced Journal Entry when the transaction (LoadSheet, Deposit) is Balanced. This JournalEntry will follow the status of the source transaction and update accordingly.

Invoice:

  • Any Invoices on a LoadSheet with a Route that has a RouteType.VerifyStatus <= Returned will have a New Journal Entry created once the transaction (LoadSheet) reaches that status. This JournalEntry will remain in New status until either the transaction is Balanced or Invoice Close is run.

Deposit:

  • Deposit source Journal Entries will be created once the Deposit is first Balanced.

  • Deposits.JournalEntryID - this field will be NULL until the JournalEntry is created. Once created, this field will be populated with the Deposit JournalEntryID.

  • Deposit Journal Entries will follow the status of the Deposit, including verifying with AR Close.

Fields And Definitions

  • Invoices.InvoiceTransJournalEntryID - this field is NULL before the InvoiceTrans Journal Entry for the Invoice is created and NOT NULL after the JournalEntry is created

  • Invoices.UndepositedJETID - this field is NULL before the ARReceipts Journal Entry for the Invoice is created and NOT NULL after the JournalEntry is created

Best Practices

If the Route Count Type on a load sheet's bin zone requires locked invoices, Invoices must be locked to maintain transaction status and subledger - general ledger alignment.
