Apply Product Groups = None to License Expired Customers

Distributor steps for installing the app that moves customers with expired liquor licenses to Product Group None in Encompass so alcohol can't be sold to them. Requires v23.01+.

Steps

How to Install the Application:

  1. Go to the App Library

  2. Search or find the app in the library

  3. Click Install

  4. Assign report and dashboard roles

  5. Set a schedule for the import routine to run

  6. Update application settings as needed

  7. Accept Terms

  8. Click Install

Fields And Definitions

General Knowledge:

  • Licenses are controlled at the customer level

  • License expiration can be viewed by looking at the customer record

  • When a license expires or is within 30 days of expiring, Encompass will prompt users that the license has or will expire soon

How the application works:

  • Finds all Customers that have an expired liquor licenses and set Customer's Product Groups to a Product Groups of your choice(Usually None) to prevent accidental alcohol sales until a new liquor license is obtained

Application Settings:

  • Select a Product Groups to apply (if left blank, this app will automatically select a Product Groups with Product Groups=None)

This setting will determine what product group to move customers to if their license has expired.

Best Practices

This application helps automate a best practice by ensuring you are not continuing to sell to a customer with an expired license. This will also help to remind people to ask for updated license information when at a customer.
