Remove allocations after they have expired

Distributor steps for installing the App Library app that automatically deletes allocations a set number of days after their end date in Encompass (default 60 days). Requires v23.01+.

Steps

How to Install the Application:

  1. Go to the App Library

  2. Search or find the app in the library

  3. Click Install

  4. Assign report and dashboard roles

  5. Set a schedule for the import routine to run

  6. Update application settings as needed

  7. Accept Terms

  8. Click Install

Fields And Definitions

General Knowledge:

  • Allocation end date is not required

  • We recommend end dating allocations once they have been completely filled

How the application works:

  • Find all allocation records that have been expired for at least X days (configurable, defaults to 60 days, minimum of 7 days)

  • Delete them

Application Settings:

  • Number of days after the Allocations End Date that it should be deleted from the system

This setting will determine when allocations should be deleted after they have ended.
