How to Send a Quick Link
What is a Quick Link?
Quick Link: A link with an encrypted URL that is only valid for a set period of time.
- The URL may or may not automatically log the user in to be able to access a single page/view.
- Commonly, these are generated using the 'Share' button throughout the system.
- This includes Table View, Report View, and any Dashboard in the system (located in the drop-down in the top right corner).
How to Generate a Quick Link:
1. Using Universal Search, navigate to a table view.
2. Click the 'Share' icon.
3. Select 'Quick Link'.
4. Set the expiration and login requirements as needed, and click 'Generate'.
- The maximum lifespan of a Quick Link is 6 months.
5. Determine if it the quick link will be sent via eChat, Email, Text, or Copy-paste the URL as needed.
6. The history of Quick Links generated in the system can be viewed from the Quick Links Table.
- Users with PermissionEdit can extend the expiration dates on specific quick links if needed.
- This table will also contain information about when the link was last used by someone (Time Read).
Note: If a user is using a 'Auto Login' quick link, and attempt to navigate to another page, a prompt will appear stating:
"You are impersonating a user. Do you want to leave and go back to your login?"
The user will need to then log in if they want to visit that other page.
Fields And Definitions
Quick Link: A link with an encrypted URL that is only valid for a set period of time. The URL may or may not automatically log the user in to be able to access a single page/view.
Share: The common option/button in the system that generates quick links.
Best Practices
Use as short of a time span as is reasonable, based on what the link needs to be used for. Extending the lifespan of a Quick Link longer than it is needed increases security risk.
Require user login when creating the quick links when possible. This ensures that users are not seeing information they are not supposed to.
Do not use QuickLinks for integrations or application development, because they will not last forever and the application may break when they expire.
