Pre-Conditions
A given customer must be Active and able to buy a given supplier's products in order to be reported to SRS in the Outlet file.
Steps
For each supplier that is set up to report to SRS
Each night, Encompass automatically sends a list of "did-buys" in an SRS Outlet file.
Each weekend, Encompass automatically sends a list of "can-buys" in an SRS Outlet file.
SRS can resend this data at any time if they need to.
SRS Outlet files are separated by supplier, as each supplier has a different footprint with respect to brand rights and retail licenses. For a customer to be included in a given supplier's outlet file, the customer must be able to purchase that supplier's products. Aside from the customer needing to have an Active status, the customer must not be restricted from ordering products via Encompass product controls. The two following product controls are utilized in SRS Outlet files:
Suppliers Areas and Brand Families Areas - Used for territorial restrictions like brand rights.
Customer Product Groups - Used for license restrictions.
Fields And Definitions
"Outlet file" - A list of customers sent to SRS. Data includes Customer ID, Customer Name, Chain & Chain Store Number (if applicable), Trade Channel, etc.
Best Practices
Utilize Encompass product controls. This will ensure accurate supplier reporting as well as product selection for sales reps.
